To process a booking for Hike To Everest, please complete the booking form and submit a deposit, which includes a 30% non-refundable portion. I want you to know that your deposit payment is considered acceptance of these terms and conditions. To complete the booking, we require that you send a copy of your passport by fax or email to our Kathmandu office at +977 1 5900081 or info@myeveresttrip.com. Upon receipt of the booking form, deposit, and photocopy of your passport, we will send you a final confirmation receipt.
Please reach out to us directly for the relevant details about making a payment. A bank service charge may apply and should be paid at the time of deposit. If you wish to pay by credit card, please get in touch with us. We only accept Visa, MasterCard, and American Express. Book a trip without a credit card fee.
The remaining balance is payable upon arrival in Nepal. Your balance for trips to India should be paid 15 days before departure. We reserve the right to cancel your trip should you fail to pay the full amount on time.
We will only accept last-minute bookings 10 days before the tour if space is available on the departure date.
NEPAL CANCELLATION & BOOKING CHANGES
If you wish to cancel your trip, a notice is required a minimum of 20 days before departure and must be made in writing. So you know, the notice will begin on the day it is received. Cancellation of a trip is only valid with approval from Hike To Everest after receiving the correct documentation. Upon cancellation, Hike To Everest will retain 30% of the deposit. There will be no refund for customers who wish to cancel but provide less than 15 days’ notice, leave a trip for any reason, or commit any unlawful act after the trip has commenced. We will make no refunds for any meals, accommodation, or other services that are not used.
If you have genuine reasons for being unable to go on the trip, i.e., because of death, injury, or serious illness – of yourself, a relative or friend, redundancy, or jury service – you may postpone or transfer the booking to another person, provided they meet all the requirements related to the respective tour. You must be able to provide proof as to why you are unable to travel. A fee of $200 US per person is required if you postpone or transfer this tour no less than 20 days before trip departure. You cannot change your trip if you notify us less than 20 days before departure.
For a Nepal visa
All customers must have a valid passport with at least 6 months of validity from the return date. You can obtain a visa from the Nepalese Consulate in your country or on arrival at Kathmandu Airport. Visa costs are the sole responsibility of the customer. For a visa for India, please get in touch with the Indian embassy in your country of residence. There are no on-arrival visa facilities for an Indian visa.
BHUTAN TRIP BOOKINGS AND PAYMENTS
You must send a completed booking form with a 50% non-refundable deposit to process a booking. We would also like you to fax or email a copy of your passport to our Kathmandu office at +977 9851069558 or info@hiketoeverest.com. We will send you a final confirmation receipt when you get your passport, completed booking form, and non-refundable deposit.

If you need to change your original tour, the person who made the booking must submit a written document with the changes you asked for. While we will do our best to accommodate your request, we can’t guarantee we will be able to fulfill the changes.
Unfortunately, if you are prevented from traveling on the tour, no refunds, transfers, or postponement options are available, as the Bhutanese government has strict tourism policies.
For BHUTAN VISAS
All clients must have a valid passport with at least 6 months of validity from the return date. Since you cannot obtain a visa to Bhutan, please send your passport details to Hike To Everest for visa applications. We need this information at least 30 days before you leave.
TIBET BOOKINGS & PAYMENTS
To process a Booking, please send us a completed booking form along with a 50% non-refundable deposit for all trips to Tibet. We'd like you to fax or e-mail a copy of your passport to our Kathmandu office at +977 9851069558 or info@hiketoeverest.com. After receiving a copy of your passport and the completed booking form with your non-refundable deposit, we will send you the final confirmation receipt.

TRAVEL INSURANCE
Travel insurance is compulsory for all customers undertaking any tour. It should provide comprehensive protection for the entire tour duration, covering personal injury, death, medical expenses, repatriation expenses, helicopter rescue, air ambulance, and adequate baggage coverage.

HEALTH & FITNESS
All our tours and treks require a degree of fitness. Therefore, you should always check with your local GP regarding your health and fitness before you travel. It’s the customer’s responsibility to notify Hike To Everest of any pre-existing medical condition and/or disability that may increase the risk of affecting their ability to travel/ the need for medical attention.
CHILDREN
All travelers under 16 must have a legal guardian accompany them. If you have any more questions about age suitability, please get in touch with us.
PUBLICITY
Hike To Everest has the right to use images of you taken during the trip without any compensation for publicity and promotion.
CHANGES TO YOUR TRIP AND PRICE DUE TO NATURAL DISASTERS, FLIGHT DELAYS, ETC
Traveling with Hike To Everest requires a degree of flexibility, good humor, and an understanding that unforeseen changes to the itinerary, modes of transportation, and accommodation can occur at any time. Changes can also result in the cancellation or postponement of the trip. Such changes occur due to unpredictable circumstances, including flight delays, political unrest, bad weather, road blockages, natural disasters (such as earthquakes, landslides, floods, snowfalls, and avalanches), or other unforeseen events beyond our control.
The cancellation and booking changes policy doesn’t apply when such situations occur. In other words, there will be no refund of the amount you paid us. The customer shall bear any extra costs incurred. We aren’t responsible for loss of employment, injury, illness, or loss of life resulting from situations beyond our control. However, we will do everything we can to ensure you’re safe.
If the booked trip is canceled for reasons beyond our control, you can take an alternative trip in the same category. When rescheduling your journey, you will receive a reschedule or a full credit for your trip. You will only pay the difference between the original and new prices if you previously booked the rescheduled departure and it costs more.
Furthermore, clients who don’t have another tour participant to share accommodation with will be charged a single-room supplement. Our trip packages are based on twin-sharing accommodation. We reserve the right to revise pricing rates posted in our marketing material under any circumstances or the pressure of various external factors, such as changes in the exchange rate, government action, and any other factors out of our control.
PRIVACY
Any private or personal information you provide when booking will be shared for other purposes, except for obtaining permits and making necessary bookings.
RISK & LIABILITIES
We are committed to providing the best services with the utmost professionalism. To achieve that commitment, we perform our duties honestly and thoughtfully.
Hike To Everest and its affiliates shall not be responsible for any changes in the itinerary due to unavoidable circumstances such as government restrictions, bad weather, road blockage, political unrest, cancellation of flight, delay, sickness or accident, any natural disaster (earthquake, landslide, flood, snowfall, avalanche, etc.), or other things beyond our control. We take your safety seriously and do everything we can to ensure the safety of our customers. The clients shall bear any extra costs incurred there on the spot.

COMPLAINTS
Should you have a complaint about the trip or tour, inform a tour leader or guide as soon as possible so that s/he may take appropriate action to resolve it.
